1. Who We Are

BOOK CREW LLC ("BookCrew", "we", "us") operates the scheduling platform at getbookcrew.com. We provide appointment booking and reminder services to small service businesses and their customers.

2. Information We Collect

What we collect depends on how you interact with us.

(a) When you book an appointment. Through a BookCrew-powered booking page, we collect your name, email address, and mobile phone number, along with the service type, date, and time of your appointment.

(b) When you contact us or express interest. If you submit an interest, demo, or contact form — including by scanning a QR code at an event — we collect the name and email address you provide, the type of business you tell us you operate, and which campaign or event brought you to the form.

(c) Automatically, when you use our website. We collect usage and device information such as IP address, browser and device type, referring page, pages viewed, links and buttons clicked, how far you scroll, and how long you stay. See Section 4 for details and how to opt out.

3. How We Use Your Information

Booking information is used solely to confirm your appointment and send reminders by email and/or SMS, and to allow the business you booked with to manage their schedule. We do not use booking information to market BookCrew to you.

Interest and contact form information is used to reply to you and to send you email about BookCrew — that is the purpose you submitted it for. Every such email includes an unsubscribe link, and you can opt out at any time by using it or by emailing us. We do not sell this information or share it with lead generators.

Website usage information is used only in aggregate, to understand which pages and campaigns work and to find and fix problems — for example, whether visitors who scan a QR code are reaching the page and where they get stuck.

4. Cookies, Analytics & Session Replay

We use PostHog, a product-analytics service, to understand how our website is used. PostHog stores a randomly generated identifier in your browser (via cookies and local storage) so that repeat visits within a session can be recognized. This identifier is not linked to your name or email address.

PostHog also records a replay of website sessions — the movement, scrolling, and clicking that occur on the page. Text you type into any form field is masked and is never captured in these recordings. We do not record keystrokes, and we do not capture the contents of the booking or interest forms in session replay.

We do not use advertising cookies, and we do not share website usage information with advertising networks or data brokers.

How to opt out. You can block or delete cookies in your browser settings, and we honor the Global Privacy Control (GPC) signal where your browser sends one. You may also email us at [email protected] to request that we exclude your activity. Opting out of analytics does not affect your ability to book an appointment or use the site.

5. SMS Messaging

By submitting a booking, you consent to receive transactional SMS messages from the business you are booking with, sent through BookCrew, at the phone number you provide. These messages include booking confirmations, appointment reminders, confirmation requests, and cancellation notices. Message and data rates may apply. Message frequency varies and is typically 2 to 4 messages per appointment. Reply STOP to opt out at any time; reply HELP for support. Your mobile phone number, SMS opt-in, and consent will never be shared with or sold to third parties, affiliates, or lead generators for any purpose, and no mobile information will be shared with third parties or affiliates for marketing or promotional purposes at any time.

6. Data Sharing

We do not sell or rent your personal information. We share your information only with: (a) the business you booked with, and (b) the service providers we use to operate the platform and deliver notifications — Twilio (SMS), SendGrid (email), Stripe (payment processing), Google (calendar sync), Anthropic (AI-assisted features), and PostHog (website analytics). Each processes your data only as needed to provide its service. No mobile opt-in information is shared with any third party for marketing. We never share or sell mobile opt-in data or phone numbers to third parties or lead generators.

7. Data Retention

Your appointment and contact information is retained for up to 12 months after your last appointment and then deleted unless required by law.

Information you submit through an interest or contact form is retained for up to 24 months from submission, or until you ask us to delete it or unsubscribe — whichever comes first.

Website usage information and session replays are retained by PostHog for up to 12 months and are then deleted automatically.

8. Your Rights

You may, at any time and free of charge: request a copy of the personal information we hold about you; ask us to correct it; ask us to delete it; unsubscribe from our emails; or ask us to exclude your activity from analytics. To make any of these requests, contact us at [email protected]. We will respond within 30 days.

We will never discriminate against you for exercising any of these rights.
